Sharing destination figures

Sharing destination figures connects two customer accounts: a regional tourism hub and a destination management organisation from its region. At the hub's request, the destination management organisation can make the aggregated figures of its social network profiles and its ad accounts available to the hub. The hub then sees in one place how the destinations in the region are doing, without asking for figures by e-mail or copying them from spreadsheets. The destination management organisation always decides what is shared and for how long.

Before you start

  • Only a customer account marked as a hub can ask for sharing. Good Agency sets this flag, ask for it through the contact form. You can only ask destination management organisations from the area your hub customer account is linked to.
  • The destination needs its own customer account in gas with linked profiles. Without one, sharing cannot be offered.
  • Only an Administrator of the hub customer account sends and withdraws requests. All members of the account then see the shared figures, including the User and Viewer roles.
  • Only an Administrator of the destination management customer account decides on requests, changes the scope and ends sharing.
  • Only aggregated figures are shared, for example the number of followers, reach, engagement or the number of posts, and for ad accounts spend, impressions and clicks. Post content, comments, audience and demographics, access tokens and account settings are never shared.

Steps for the regional hub

  1. In the left menu, expand Tourism data and click Comparison of destinations.
  2. Switch to the Social networks or the Advertising tab.
  3. In the Sharing column next to a destination, click Request sharing. To ask all destinations at once, use the Request all button above the table.
  4. In the Sharing request window, choose what you are asking for: Aggregated social profile figures, Ad accounts (spend, impressions, clicks), or both. In the Message for the admins (optional) field you can briefly explain what you need the figures for.
  5. Click Send request. The status in the Sharing column changes to Awaiting approval with the date it was sent.

The destination admins will see the name of your customer account, your name and your e-mail. Until they decide, you can withdraw the request with the Withdraw request button.

Steps for the destination management organisation

  1. gas lets you know about a new request with a notification. Open Settings → Customer account → Sharing figures, the menu item shows the number of pending requests.
  2. In the Pending requests section, click View and decide next to the request.
  3. Read What the recipient will see and What is not shared. For each network, the shared figures are listed.
  4. In the Your profiles and ad accounts section, tick what you want to share. All profiles and accounts within the scope of the request are preselected, but you can share only some of them.
  5. Click Allow sharing. If you do not want to share, click Decline, optionally write a reason and confirm with Confirm decline. The reason is optional and the requester will see it.

The consent is recorded, including who gave it, when and in what scope. You can narrow or widen the scope and end the sharing at any time, and ending takes effect immediately.

What happens next

What the regional hub sees

On the Social networks tab, each destination is one row with the total for all profiles it shares with you. Expand the row to see the individual profiles, labelled Shared by and the name of the destination management organisation. Switch the network in the field above the table. Each number has an arrow with the change against the same period of the previous year; the period selected in the page header applies.

The Advertising tab works the same way for ad accounts. In the default All platforms view it adds up spend, impressions and clicks across platforms in Czech crowns, and each ad account shows the icon of its platform.

For destinations that do not share with you yet, the Social networks tab may show figures from your own profiles if their posts carry the destination's hashtag. Such rows are labelled Destination tag on your profile and they are your own data, not the destination's.

You will also find the shared figures on the detail of social network metrics. Below the chart there is a Shared destinations table with the total, a small trend line and the share of each destination.

The tables can be exported to CSV and Excel and printed. On a phone, a list of destinations with their totals replaces the table, the breakdown into individual profiles is visible on a computer.

What the destination management organisation sees

An approved request moves to the Active sharing section. The card shows whom you share with, since when and who approved it. Tick or untick a profile to change the scope, the change is saved right away and gas confirms it with Sharing scope saved. After clicking End sharing you can write an optional reason that the hub will see, and confirm the ending. Declined and ended sharing is listed in the History section.

On the Linked accounts page, the Shared with column shows which customer accounts each profile is shared with.

When gas adds new metrics to the shared figures, a New sharing terms notice appears at the top. The recipient sees the new metrics only after you click Confirm new terms; until then they receive only the figures you agreed to earlier.

Statuses in the Sharing column

  • Not sharing: the destination does not share anything yet, you can ask.
  • Awaiting approval: the request has been sent, the destination has not decided yet.
  • Active: the destination shares and you see the figures in the table.
  • Declined and Ended: the destination declined the request or ended the sharing. If it gave a reason, you will see it when you hover over the icon next to the status. Use Request again to send a new request.
  • Not in gas: the destination has no customer account in gas, so it cannot be asked.
  • Unavailable: your customer account is not marked as a hub.

Common problems

You do not see the Request sharing button

Only the Administrator role can ask, and only in a customer account marked as a hub. A destination with the Not in gas status never has the button, because it has no account the request could go to.

The tab shows Unavailable

Your customer account is not marked as a hub. Ask for it through the contact form. Previously approved sharing stays in place and the figures appear again once the flag is on.

Sharing is active, but figures are missing for a destination

Most often the profiles have no data for the selected period, so try another period in the header. If the destination disconnected one of the shared profiles, a notice tells you how many shared profiles are disconnected. The hint The destination has not confirmed the new sharing terms yet on an empty cell means it is a new metric the destination has not confirmed yet.

The destination has two customer accounts

The request goes to both and each account decides on its own. The destination row adds up the profiles from all accounts that share, and the same profile is counted only once.

You want to end sharing as the hub

Only the destination management organisation can end active sharing. As the hub, you can withdraw a request while it is awaiting approval. To end active sharing, ask the destination admins, or write to us through the contact form.

You do not want notifications about sharing

In the notification settings you will find the Destination figure sharing group. You can turn it off entirely or only for a selected customer account. In addition, the weekly summary reminds destination admins of pending requests.
