Limits and their usage

The plan of a customer account does not only decide which modules you see in gas, but also how many things you may create in them: how many profiles you connect to one network, how many campaigns or goals you create, how many reports you generate per year. We call these caps limits. This article describes which limits gas watches, where you can see how much you have used, how to spot that you are getting close to the cap and what to do when a limit runs out.

Before you start

You will find the detailed usage overview in Settings → Customer account → Subscription. The whole Customer account section is available only to user accounts with the Administrator role. If you have the User or Viewer role, the message "You do not have sufficient permissions to edit the customer account." appears instead of the settings. Even so, you will see the warning about a limit that is running out or is already used up, directly on the page where you work with that feature.

Limits always apply to one customer account. When you switch to another customer account in the top bar, that account has its own plan and its own usage.

The exact numbers differ by plan and can be set individually for your customer account. What you see on the Subscription page always applies.

Which limits gas watches

The overview shows only the limits that concern your plan. A limit for a feature your plan does not include (for example reports in a plan without reports) is not shown at all.

  • Max. profiles per network. How many profiles may be connected to the customer account, counted separately for each network and advertising platform: Facebook, Instagram, TikTok, YouTube, Pinterest, Websites, Meta Ads, Google Ads, Sklik and Pinterest Ads. A limit of "2 per network" therefore means two Facebook pages plus two Instagram profiles, not two profiles in total.
  • Max. users. How many user accounts have access to this customer account.
  • Max. campaigns. Only campaigns that are still running are counted, meaning their end date is today or later. A campaign whose date has already passed stays in the overview for history, but does not block a slot.
  • Max. goals. Same rule: goals whose end date is today or later are counted.
  • Max. custom measurements. Again only measurements that are still running.
  • Max. media monitorings. Again only monitorings that are still running.
  • Max. reports per year. How many reports may be generated successfully in the last 365 days. This is not a calendar year: a slot is freed 365 days after a particular report was generated.
  • Max. measured pages. How many pages you may have in the Pages analysis section. All of them are counted here, they have no end date.

Steps: where you see your usage

  1. Open Settings in the left menu.
  2. Select Customer account and then Subscription in its menu.
  3. On the card with your plan, click the expandable row Limits and usage. It is collapsed by default.
  4. Each limit shows a sentence with its status (for example "3 of 6 used") and below it a coloured bar showing how much is used. A limit with no cap shows the text Unlimited instead of numbers.
  5. On the Max. profiles per network row, click its name, which has an arrow next to it. A breakdown by individual networks expands, where each network shows free, a count in the form 2 of 2, or fully used.

What happens next

How to spot that you are getting close to the cap

On the Subscription page, the colour tells you:

  • A green bar means you have room.
  • A yellow bar with a warning triangle appears as soon as 80 % or more is used. Instead of a count, the row shows a sentence such as "1 goal of 6 remaining".
  • A red bar with a lock icon means the limit is used up. The text reads, for example, "All 6 goals used".

Warnings directly in the application

On the Campaigns, Goals, Custom measurement, Media monitoring and Pages analysis pages, in the report detail and in the list of customer account users, a coloured strip appears above the content:

  • yellow when one free slot is left, for example "You have one last goal remaining out of 6.",
  • red when the limit is used up, for example "You have used all 6 goals."

Below the text there is an instruction on what to do next. An administrator of the customer account sees a Subscription button that takes them straight to the settings. Everyone else sees the sentence "To increase the limit, contact the customer account administrator" together with the names of the administrators. If the account has no administrator, a prompt to contact technical support appears. In that case write through the contact form.

This strip is only visible to someone who is allowed to create the given item. A user account with the Viewer role will not see it, because the limit does not concern them.

What happens when a limit is used up

The add button turns grey

The button stays visible on the page, but you cannot click it. When you hover over it, an explanation appears, for example "Goal limit reached, 6 of 6. Upgrade your plan or delete an unused goal." This applies to the buttons New campaign, Create goal, Create measurement, Create monitoring, Invite user and Generate report.

In the linking dialog, the customer account is unavailable

When you connect a profile (a Facebook page, an Instagram profile, a channel, an ad account) to a customer account, the form contains a Customer account selector. gas checks in advance where you are allowed to connect the profile and blocks the accounts where it is not possible. Each blocked account shows a short reason. For a used-up limit it reads Limit reached.

Depending on how many customer accounts you have, it looks like this:

  • If you have several accounts, the unavailable ones are greyed out in the list and have a badge with the reason next to them. Only the remaining ones can be selected.
  • If your only customer account is unavailable, the selector is not shown at all and a warning "This action cannot be performed for account …" with the reason appears instead.
  • If all of them are unavailable, a warning "This action cannot currently be performed for any of your customer accounts." appears at the top, with the sentence "You will find the reason with each account below. Changing the role, upgrading the plan or renewing the license will help." below it.

Until availability loads, the text "Loading customer account availability…" is shown in place of the selector. Wait a moment, the list fills in by itself.

Other reasons why a customer account is unavailable

A used-up limit is only one of four possible reasons. The others are regularly confused with it, so go through them.

The difference between the first three is worth remembering: Limit reached means you have the feature in your plan, but it is full. Feature not included in plan means your subscription does not contain it at all. No permission concerns your role, not the plan: all three roles may view data, but creating content and connecting profiles is another matter.

  • Limit reached. This customer account has as many profiles connected on that network as the plan allows. What to do: unlink a profile you no longer need, or ask for the limit to be increased (see below).
  • No permission. In this customer account you do not have a role that may connect profiles. The Administrator and User roles may connect a profile, the Viewer role may not. In addition, only an Administrator may unlink a profile from a customer account, so this reason also appears when you untick an account in the selector where you are only a User. What to do: ask the customer account administrator to change your role, or to make the required change themselves.
  • Feature not included in plan. The plan of this customer account does not contain the given advertising platform. This applies only to advertising platforms (Meta Ads, Google Ads, Sklik, Pinterest Ads); ordinary networks such as Facebook or Instagram are not restricted this way. What to do: ask for your plan to be extended.
  • Invalid license. The customer account has no valid subscription: either it has none, or its validity has ended (or has not started yet). What to do: renew the subscription. In that case the Subscription page shows a coloured warning at the top with the date and a contact.

How to increase a limit

  1. Open Settings → Customer account → Subscription. You need the Administrator role. If you do not have it, write to the administrator whose name you find in the yellow or red strip next to the feature.
  2. At the very bottom of the page there is a card Would you like to change your subscription type? with the address info@gas-online.cz. You can also write to us through the contact form.
  3. Write to us which customer account it concerns and what you need increased, for example "we need to connect five Facebook pages instead of two". A limit can be raised either by changing the plan or by adding an add-on to the current one.

Before you ask for a change, consider whether you can free up space yourself:

  • Unlink a profile you no longer follow. In Settings → Customer account → Linked accounts each row has the action Unlink account. Unlinking can be undone by connecting the profile again. Only the Administrator role may do this.
  • Delete a campaign, goal or measurement you do not use.
  • Wait for the end date. With campaigns, goals, custom measurements and media monitorings the slot is freed by itself as soon as their end date passes.
  • With reports the space is freed continuously, always a year after a particular report was generated.

When you need to connect more profiles than the plan allows

The profile count limit is calculated separately for each network, so connecting an Instagram profile never takes a slot away from Facebook. When you need more profiles on one network:

  1. Open Settings → Customer account → Linked accounts and go through what is connected. Unlink profiles that are no longer being followed using the Unlink account action.
  2. If all connected profiles are needed, write through the contact form and state the name of the customer account, the network and the number of profiles you need.
  3. After the increase, the new capacity appears in the application by itself. If the old number still shows, refresh the page in your browser.

Splitting profiles across several customer accounts just because of a limit does not pay off: each customer account has its own subscription, its own team and its own data, so neither reports nor overviews add up across them.

Common problems

The profile is in Linked accounts, but I cannot select it in the profile selector

When more profiles are connected on a network than the plan allows (typically after moving to a lower plan), gas locks the most recently added profiles. They stay in the list of linked accounts, but they are unavailable in the profile selector in the page header and cannot be selected. They are unlocked as soon as the number of connected profiles fits the limit: unlink the profiles you do not need, or have the limit increased.

One of the limits is not in the overview at all

Only limits for features your plan contains are shown. If, for example, the report limit is missing from the list, it means the plan does not include reports. That is a different situation from a used-up limit and is solved by extending the plan.

The top row for profiles shows a bigger number than I expect

The Max. profiles per network row summarises all networks together, so it usually shows the total across all networks, while the value after the full stop (for example "2 per network") is the limit that applies to one network. You will see the actual usage per network after clicking the row name.

The limit shows a different number than the number of records I see

With campaigns, goals, custom measurements and media monitorings, only records that are still running count towards the limit. Finished ones stay in the list for history, but do not block a slot. That is why the list can contain ten campaigns while the limit reports three used.

The report was not generated and reports a used-up limit

The yearly report limit is calculated from successfully generated reports in the last 365 days. When it is used up, the Generate report button is unavailable and scheduled reports are not generated. A slot is freed 365 days after the oldest counted report, or immediately after your plan is upgraded.

Connecting a profile failed even though I selected the account in the selector

Account availability is loaded when the dialog opens. If a colleague fills the limit in the meantime, the change is saved only for the accounts that have room and gas rejects the action for the rest. Close the dialog, open it again and see which accounts are newly marked as unavailable.

The add button is not greyed out, it is missing completely

That is not about a limit, but about your role. When you are not allowed to create the given type of record, the button is not shown at all. A greyed-out button with an explanation in a tooltip means you have the permission and the limit is what is stopping you.

We changed the plan, but the usage stayed the same

The numbers refresh by themselves within moments. If they still have not changed, refresh the page in your browser, or switch to another customer account in the top bar and back.

The customer account settings will not open for me

The Customer account section including the Subscription page is visible only to the Administrator role; everyone else sees the message about insufficient permissions. In that case have the administrator show you the limit usage, or make do with the coloured strips next to individual features, which you see even without this role.
