First-setup checklist

This article is a signpost for the first setup. It walks you in order through every step from the moment your registration is done and you are logged in, up to the point where gas shows data from your profiles and can turn it into a report. For each step you will find what it does, how to tell it is finished, and which article describes it in detail.

Before you start

We assume your registration from the invitation is complete and you are logged in to the application. If not, start with the articles Completing registration from an invitation and First login.

Steps 1, 2, 5 and 6 can only be done by someone with the Administrator role. The whole Settings → Customer account section is available to administrators only; everyone else sees a red warning instead of the content: "You do not have sufficient permissions to edit the customer account." Linking services and connecting profiles (steps 3 and 4) can also be handled by the User role.

Which features you will have available (campaigns, goals, reports, media monitoring, tourism) and how many profiles you may connect is determined by your plan. This is described in the articles Subscription and plans and Limits and their usage.

Linking has two stages, and it is worth knowing the difference before you start. First you link the service: you log in to your account on Facebook, Google, Pinterest, TikTok or Sklik, and gas thereby gains access to what you manage on that platform. This link belongs to your user account. Only then do you connect specific profiles to the customer account: you pick a page, profile, ad account, channel or measured property. It is this second step that decides whose data you will see in the customer account. Without it the application stays empty, even though you logged in to the platform successfully.

Procedure

  1. Fill in the customer account details. Open Settings → Customer account → Profile and check the fields Customer account name and Short name. The short name may have at most 16 characters and gas uses it wherever the full name does not fit. Both fields save themselves a moment after you stop typing; you can tell it is done by the save confirmation right next to the field.   2. Invite colleagues and assign them roles. In Settings → Customer account → Users click Invite user, fill in the email address and send the invitation; your colleague receives an email with a link to confirm their entry. There are three roles: Administrator manages user accounts and customer account settings, and is the only one allowed to unlink connected profiles; User works with data, connects profiles and creates campaigns, goals and reports; Viewer can only read data. You can tell it is done when the person appears in the users table; until they accept the invitation, you see the columns Invitation sent and Invitation sender filled in for them. This is described in detail in the article Users and roles.
  3. Link the services. Go to Settings → Connected services, where the Dashboard shows the tiles Meta accounts, Google accounts, Pinterest accounts, TikTok accounts and Sklik accounts. For the platform you use, start linking with the button Connect Meta account, Connect Google account, Connect Pinterest account, Add TikTok profile or Add Sklik account; the application redirects you to that platform's login page, where you log in and confirm your consent. You can tell it is done when you return to gas and the number of linked accounts appears on the platform tile.   4. Connect specific profiles to the customer account. Click the network tile, select the account you logged in with, and connect the individual profiles: with Meta via Connect Facebook, Connect Instagram and Connect Meta Ads account, with Google likewise a YouTube channel, a Google Ads account and a Google Analytics property. In the dialog you pick the specific item from a drop-down list (the Page, Profile or Account field), optionally fill in your own name under which you want to see the profile in gas, and confirm with the button Connect page, Connect profile or Connect account. You can tell it is done by the message "Page Name was successfully linked." and by the profile appearing in the list. The procedure for each profile type is described in the articles Connecting a Facebook page, Connecting an Instagram profile, Connecting a Meta Ads ad account, Connecting a YouTube channel, Connecting a Google Ads account and Connecting a Google Analytics property.
  5. Check the result in Settings → Customer account → Linked accounts. The table is grouped by network and shows the columns Network, Account name and Who links the account. You can tell it is done when every profile you want to track has an email address in the Who links the account column; it is a link, so you can write to that person right away. If the value is Nobody instead of an address and the row is highlighted as an error, the profile has no live link and needs to be connected again.   6. Set the default profile and the order. In the same table, click the star in the Default column next to a profile (its tooltip says "Set as default for this network"). The default profile is then pre-selected every time you open that network's page, so set it to the one you work with most often. You change the order within one network by dragging the row by the handle next to the account name; profiles are offered in the switchers in the same order, and dragging works only within the same network. You can tell it is done when the star on the chosen row stays yellow and the new order survives a page refresh. This is described in detail in the article Customer account linked accounts.
  7. Wait for the first data. Data is downloaded in the background, not at the moment of connecting, so the first figures appear only with the next download; for most networks this happens several times a day. For Meta profiles (a Facebook page, an Instagram profile, an ad account), gas additionally back-fills the history for the period the platform provides: for pages and Instagram it is roughly the last three months, for ad accounts a considerably longer period. You can tell it is done when figures and graphs appear on the Overview and on the individual network pages instead of empty cards.   8. Create your first goals. In the Goals section click Create goal and in the New goal dialog select a Metric (the list is grouped by network) and the Profile the goal relates to, then fill in the Goal value, Start date and End date; the Goal name is optional. You can tell it is done when the goal appears in the table and, after a moment, a completion percentage shows up in the Progress column.   9. Create your first report. In the Reports section click New settings, name the report, choose a period or a recurrence interval, and select the profiles and sections that should be in the resulting PDF. You can tell it is done when the report appears in the list and, once you start generating it, a run is added that ends with a file to download. This is described in detail in the articles What reports are for and Creating a report step by step.

It is a good idea to coordinate linking with the customer account administrator. In Settings → Customer account → Linked accounts the administrator sees what is already connected, who connected it and what state it is in, so they can tell you whether a new link is needed at all. That saves pointless parallel links to the same profile.

What happens next

Once the steps are done, the Overview starts showing cards with data for the selected period. You adjust the card layout with the Edit layout button and add a new card with Add widget. You can recognise a card with no connected profile by the message "We did not find any profile for this widget. Link gas with your account in the settings." and you can either remove it with the Remove card button or go straight to Create new link from it.

From then on gas takes care of the data itself. When a profile's link breaks (typically because the platform password changed or a permission was removed), a warning appears under the bell in the top bar and the network tile in Connected services adds a note that the account needs attention. Fixing it means going through steps 3 and 4 again; this is described in the article Restoring a link after access expires.

You never enter your platform password into gas: you log in directly on the Facebook, Google, Pinterest or TikTok page, and for Sklik you paste an access token that you generate in the Sklik administration. Access can be revoked on the platform's side at any time.

Problems with access, roles and the plan

I cannot open Customer account in Settings, or a red warning shows instead of the content

The section is available only to the Administrator role. Ask your customer account administrator to do steps 1, 2, 5 and 6, or to change your role.

The button for connecting another profile is unavailable

You have most likely used up your plan's limit; in that case a bar with information about the exhausted limit is shown above the list. This is described in the article Limits and their usage.

I cannot invite another colleague

A limit on the number of user accounts applies according to your plan. You will find the status in Settings → Customer account → Subscription in the Limits and usage part.

I cannot see Campaigns, Goals, Reports or Media monitoring in the menu

These features depend on your plan and add-ons. You can find out what your plan includes in Settings → Customer account → Subscription; to request a change, write through the contact form or contact your consultant. This is described in the article The feature is not available.

Only the Administrator role may unlink a connected profile.

My colleague did not receive the invitation

In the Users table use the Resend invitation action for them. If you got the address wrong, cancel the invitation with the Cancel invitation action and send a new one.

I changed my own role and lost access to the settings

The application warns you about this when you make the change, with a message about changing your own role. Another administrator of the same customer account can set it back for you.

Problems while linking

I logged in to the platform, but there is no data in gas

Most often the second linking step is missing. Logging in to the platform (step 3) does not by itself connect any profile to the customer account; that happens only when you select a specific page, profile or account (step 4). Check the Settings → Customer account → Linked accounts table: whatever is not in it, gas does not track.

I have a linked account on the network tile, but nothing in Linked accounts

The same situation as above. Click the network tile, open the linked account and connect specific profiles from it.

I cannot see my account in Connected services, even though there is data in gas

In Settings → Connected services you see only your own links. The profile was connected by someone else on the team, and you will find their email in Settings → Customer account → Linked accounts in the Who links the account column. You do not need to do anything, it works; there is no need to create a second link to the same profile. This is explained in the article Who linked the account and why I cannot see it.

The dialog says another user linked the profile

The message reads along the lines of "Page Name was linked by user address. You can take ownership of it and thereby change its settings and availability for customer accounts." It also appears in the variant where the person linked that profile under a different platform account. In both cases you can take ownership of the profile, but first agree with the customer account administrator whether it is needed.

The dialog says I have the profile linked under another of my accounts

It means you linked the same profile yourself at some point, but through a different platform account. The application offers to relink it under the account you are working with now.

The dialog says the account or page is already linked

The messages "Account is already linked" and "All pages are already linked. Select a different account." mean the selected item is already connected on the customer account. Choose a different item or a different platform account, or check in Linked accounts what you already have connected.

A page or account I manage is missing from the list

Either the item was unticked in the platform's consent dialog while you were logging in (with Meta the pages are selected with checkboxes and are easy to overlook), in which case just go through the linking again and leave everything ticked. Or you do not have the required permission on that platform, which the account administrator on the platform's side can grant you.

When data does not arrive

The profile has no live link, so no data arrives for it. Someone with access on the platform should connect it again and choose to take ownership of the profile during the selection. This preserves both the history and the profile settings.

Data stopped arriving after a colleague left the company

This is the most common cause of suddenly missing data: the profile was once connected by someone whose platform account was cancelled or whose permission was removed. An active colleague connects the profile again and chooses to take ownership of it during the selection, thereby taking it over under their own link. Do not unlink the profile and do not create it again.

I switched customer accounts and the data disappeared

Connected profiles belong to a specific customer account. Check in the switcher in the top bar that you are in the right account; steps 3 to 6 need to be done separately in each customer account.

The report came out without one of the networks

A section whose profile is unlinked or has no live link is left out of the report, and gas warns you about it. Once the link is restored, the report can be generated again. This is described in the article When a report is missing or incomplete.

The figures in gas differ from Facebook or Google

Platforms count some metrics differently, back-fill them retroactively and work with a different time zone. This is explained in the article The figures differ from Facebook or Google.
