Customer account profile

In Settings → Customer account → Profile you decide what your customer account is called. The name and its short form then appear in a number of places in the gas application, from the account switcher in the top bar to the header of a generated report. Open this page when a company or destination name changes, when you want to refine the naming you chose during the initial setup, or when two similarly named accounts keep confusing you in the switcher.

Before you start

Only user accounts with the Administrator role can open the Customer account section. For other roles the Customer account card on the Settings dashboard is inactive, and if they open the page directly they see the red warning "You do not have sufficient permissions to edit the customer account." In that case ask someone who is an administrator of your customer account to make the change.

You can find out which role you have in each customer account in Settings → User profile → Customer accounts, in the Role column. There are three roles: Administrator, User and Viewer.

Keep in mind that the name is shared by the whole customer account. The change is visible to every member of the team who has access to the account, as well as to report recipients.

What each field means

The Profile page contains two fields and both must be filled in.

Customer account name

The full, understandable name of the account, typically the name of the company, brand or destination. It must be at least 3 and at most 255 characters long.

Where you will see it in the application:

  • in the list in Settings → User profile → Customer accounts, in the Customer account name column,
  • in the customer account switcher as an additional line below the short name (it appears only when it differs from the short name),
  • in Settings → Connected services next to connected profiles, in the Customers column, which shows which customer accounts use that profile (the column is offered only when you have access to more than one customer account),
  • in the header and footer of a generated report, if the report settings have the Show company name in the header or Show company name in the footer option turned on,
  • in the email in which gas announces that a scheduled report is ready.

Short name

A short form of the same name, at least 3 and at most 16 characters long. gas uses it everywhere space in the interface is tight, and prefers it over the full name:

  • in the customer account switcher in the top bar (on a computer on the right, on a phone on the left next to the menu button), where it is the main piece of information under the Customer account label; longer text is truncated in the narrow space and followed by three dots,
  • in the list of accounts that opens after you click the switcher; the full name is below it in smaller type,
  • in the customer account selection offered when you connect a social network profile or an ad account,
  • in the goal settings, in the option that determines which account the goal applies to.

Choose the short name so that everyone on the team recognises the account at a glance and so that two of your accounts cannot be mixed up. When you manage several customer accounts, this is the main clue in the top bar that tells you which one you are working in.

Steps

  1. In the left menu, click Settings.
  2. In the top bar, check that the customer account you want to edit is selected. Settings always apply to the account you have switched to.
  3. On the Customer account card, click the I want to set up button.
  4. In the menu on the left, choose Profile. On a phone there is a drop-down list above the page content instead of the menu.
  5. Click in the Customer account name field and rewrite the text.
  6. Stop typing and wait a moment. About a second after you finish, the text Saving... appears below the field, followed straight away by Saved. The page has no Save button, the change is saved by itself.
  7. Edit the Short name field in the same way. It is saved separately from the name, so wait for the Saved message here as well.

What happens next

  • The Saved message confirms that the change has been recorded. It disappears on its own after a few seconds, which is normal.
  • The customer account switcher in the top bar is updated immediately.
  • Other places (the list of accounts in the switcher, pages open in another browser tab) pick up the new name after the page is reloaded.
  • Reports that have already been generated keep the name that was valid when they were created. The new name appears only in reports generated later.
  • Changing the name has no effect on data, linked accounts, user accounts or the subscription.

Company and billing details

Besides the name, gas also keeps company and billing details for the customer account: Company name, Address, Company registration number, VAT number, Billing email and Billing phone. They are filled in once, in the Customer account setup wizard that runs when you create an account from an invitation, in the Customer account step. They are used to issue the invoice for the subscription and as a contact for billing matters.

You will not find these fields on the Profile page, they are not displayed anywhere in the application and they are not carried over into reports. When one of these details changes (a new registered address, a different email for invoices, a change of company name), write to your sales representative through the contact form, the same as with subscription changes. We will make the change on our side.

Common problems

Instead of the form I see a warning about insufficient permissions

Only the Administrator role may change customer account details. Ask the administrator of your customer account to make the change, or to change your role in Settings → Customer account → Users.

I rewrote the text, but the Saving... message did not appear

The value you entered failed validation and gas deliberately did not save it; in that case there is a red warning below the field. The most common causes are text that is too short (both fields need at least 3 characters), an empty field, or a short name longer than 16 characters. As soon as you correct the text, saving starts.

The whole company name does not fit into the short name

That is intentional, the field allows only 16 characters because it is displayed in narrow parts of the interface. Use an abbreviation or the first word of the name and leave the full name in the Customer account name field.

A red Error while saving! message appeared

Along with it, gas displays the warning "Error while saving customer account data. Please try again in a moment." This is usually a short-lived connection outage. Check your internet connection, wait a moment and rewrite the text in the field so that saving is attempted again. If the problem persists, reload the page and try once more.

The application logged me out in the meantime

When your session expires, saving does not go through. Log in again, open the Profile page and check whether the fields contain the new or the original value. If the original value is there, make the change again.

Some places still show the old name

The switcher in the top bar changes right away, other lists only after the page loads. Reload the page in your browser (the F5 key) and check that you do not have the application open in another tab with the old state.

The downloaded report still has the old name

Finished reports are not rewritten retroactively. The new name appears only in a report generated after the change.

I renamed the wrong account by mistake

Settings apply to the account currently selected in the top bar. Switch to the correct account and change both names back. The page does not keep a change history, so you have to type the original wording manually.

Two customer accounts look the same in the switcher

The switcher displays the short name, so you cannot tell two accounts with the same abbreviation apart. Open each of them and give them different short names.

I cannot see the section menu on my phone

On a phone, the Customer account section has a drop-down list above the page content instead of the menu on the left. Choose the Profile item in it.
