A report is a finished document in PDF format that gas assembles from the data of your connected profiles for a chosen period. The result is a file you can send to a client or to management without any further editing: it has a cover page with your logo, a table of contents with page numbers and individual sections per network. You can have a report created as a one-off, or gas can generate it repeatedly on a schedule and send it out by email itself.
You will find reports in the left-hand menu under Reports.
Before you start
Reports are a feature tied to the customer account subscription. If you cannot see Reports in the left-hand menu, your subscription does not include it. To request an upgrade, write through the contact form.
The number of generated reports is capped by an annual limit. You can see how many reports your customer account has available and how many of them are used up in Settings → Customer account → Subscription under Max. reports per year. The tracked window is a rolling 365 days, so as soon as the oldest generated report drops out of the window, the space frees up again. Runs that ended with an error do not count towards the limit.
Every successfully generated document counts towards the limit, not the number of saved settings. An automatic monthly report therefore uses up one item for each month in which it is generated.
What each role in the customer account may do:
| Role | What they can do with reports |
|---|---|
| Viewer | views reports and downloads finished PDFs |
| User | in addition, creates and edits report settings |
| Administrator | in addition, starts generation and deletes reports |
A report draws only on the profiles connected to the customer account. If a network has no connected profile, you will not be able to add its section to the report and gas will state that no profiles are available for that section. Connecting profiles is described in the Connected services category.
What the finished report looks like
The PDF always has the same structure, only what you choose to put in it changes:
- Cover page. At the top the customer account logo (if one has been uploaded) and the customer account name, below that the report title and description. At the bottom there is the gas logo and two pieces of information: the period the report covers and the date of generation. You can overwrite both the title and the description with your own text, otherwise gas uses the default Results overview.
- Table of contents with a list of sections and page numbers. This page can be turned off.
- Overview of connected profiles and platforms. An optional page showing which profiles and ad accounts the report drew on.
- The individual sections. Each section is a separate part of the document with its own colour strip and the name of the network: Summary, Facebook, Instagram, TikTok, YouTube, Pinterest, Pinterest Ads, Meta Ads, Google Ads, Sklik, Google Analytics and Tourism. The sections contain key figures, trend graphs and, depending on the settings, also TOP posts, videos or pins with preview images and campaign lists.
- Header and footer on every page. You can choose whether they should show the logo, the company name, the date and the page number.
The summary section always fits on one page and every selected metric is drawn in it as a separate card.
The report is generated in the language set in the user account of whoever created the report. Czech, English and German are available.
One-off and automatic reports
gas can do both and you choose in the very first step of the settings, in the Run type field.
One-off
You pick a specific period, save the settings and start the generation yourself with the Generate report button. This suits one-off materials: the evaluation of a single campaign, background for a meeting, a report for a closed quarter.
The chosen period must end at least three days before generation. Networks keep recalculating their figures for a few days, and the report would otherwise contain incomplete data. If you choose a period that ended later, gas will say so and will not start the report.
Automatically
You choose the schedule (Weekly, Monthly, Quarterly or Yearly) and the recipients from among the user accounts of the customer account. After that you do not have to do anything else: gas generates the report itself after each completed period, always after nine o'clock on the third day after the end of the period, and sends it to the recipients by email.
With an automatic report you can additionally switch on the Include previous period option. On the first run gas will then also generate a report for the preceding period, if data is available for it.
If you need a regular report for a client, set it up as automatic. You save yourself watching deadlines and the recipients get the PDF by email without having to log in to gas.
What the report list looks like
The Reports page has two tables below each other. At the top are Automated reports, that is settings from which gas generates the PDFs on its own according to a schedule. Below them are One-off outputs, which are only produced when you start the generation. One-off outputs are deliberately less prominent and have no Next run column, because no date is being waited for with them.
The table has these columns:
| Column | What you find in it |
|---|---|
| Report | the name of the report, below it the schedule (One-off, or the frequency of an automated report) and the number of generated outputs |
| Latest output | the period of the latest finished output, the date it was generated and the size of the PDF |
| Status | a label with the status of the report |
| Next run | the date and time of the nearest automatic run, only for automated reports |
| Actions | buttons and a menu with further actions |
These labels appear in the Status column:
| Label | What it means |
|---|---|
| Ready to run | the settings are saved, but no PDF has been produced from them yet |
| Generating | gas is assembling the report right now, a progress indicator runs in the row |
| Ready to download | the last run finished and the PDF is ready |
| Error | the last run could not be completed, the row also carries the reason and a Try again button |
| Canceled | the run ended before it could finish |
The status switches by itself. When a report is being produced, leave the page open and the row flips over the moment it is done. You do not have to reload the page.
Search and filters
Above the tables there is a search field and next to it the filters All, Automated and One-off. The search goes through the names of the reports as well as the labels of the periods, so you can type the name of the report or something like "week 33 2026" or "July". It copes with typos, missing diacritics and a dropped full stop, so "cervenec" finds the same thing as "červenec".
The fourth filter, Needs attention, only appears when some report has a fresh failure. It picks out the reports whose last run ended with an error.
The periods of one report
The arrow to the left of the name expands the report. Below the row six latest finished periods appear as tiles, each of them with the date it was generated, the size of the PDF and a download button. A period that could not be generated is not among the tiles: a fresh failure is visible directly in the row of the report, older ones you find in the Period history panel.
When the report has more periods, there is a Show all N periods link below the tiles. It opens the side panel Period history.
At the top of the panel is the latest finished output with a download button, below it a field with which you narrow the list down to the period you are looking for, and then all the periods grouped by year. The panel loads twenty periods at a time, older ones you add with the button at the end of the list. Every period offers the download of the PDF and Copy link, a failed one additionally Try again.
The new badge
An output you have not seen yet carries the new badge. It disappears as soon as you view the overview, and no later than seven days after it was generated. The badge belongs to your user account, so a colleague may see a different marking on the same report than you do.
Actions on a report
The row holds a button for downloading the latest PDF and, for an automated report, a pencil icon with which you open the settings for editing. For a one-off report from which no PDF has been produced yet, the row holds a Generate report button.
Everything else you find in the Actions menu under the three dots icon: opening the period history, creating a copy of the report and deleting the report. Only an Administrator sees the deletion. A copy opens new settings pre-filled from the original and adds "(copy)" to the name, so you can prepare a variation of the report without filling everything in again.
In the page header there are two more buttons: Archive with the history of all generated PDFs, and Report subscriptions, where each user account manages which automatic reports should be emailed to them.
On a phone both tables are rendered as cards with the same order of details and the filters line up in a single scrollable row.
The procedure in brief
- Open Reports in the left-hand menu.
- At the top right click New settings.
- Fill in the Report name and in the Run type field choose One-off or Automatically. Depending on that you then select a period, or a schedule and recipients.
- Add the sections the report should contain and for each one select a profile and metrics.
- Set up the cover page and the layout (logo, header, footer, table of contents).
- Click Save settings.
- For a one-off report, start the generation with the Generate report button.
The individual steps are described in detail in the article Creating a report step by step, the content of the individual sections in the article Report sections and their content.
What happens next
Generation runs on our server, so you can happily leave the page or sign out. For an ordinary report it takes a matter of minutes, for a large report with post preview images it can take longer.
As soon as it is done, the status in the row switches to Ready to download and a button for downloading the PDF appears. For a report you started manually you will also get an in-app notification in the form "PDF report name is ready to download". For an automatic report the recipients get an email with the subject "Report ready: name" and with a Download PDF button.
Every generated PDF stays in the Archive, from where you can download it later as well.
A report and printing a page are not the same thing
This is the most common confusion. gas can do two different things and each is good for something else.
Printing a page is started with the keyboard shortcut Ctrl+P (Cmd+P on a Mac) or with the printer icon button right on the page you have open. It is a quick picture of what is on the screen at that moment: one page of the application, with the period and filters you currently have set on it. You print the result or save it as a PDF through the browser window. It is not stored anywhere, it is not sent to anyone and it does not count towards the annual report limit.
A report, by contrast, is a separate document. It has its own saved settings (name, period, selection of sections across networks, cover page, logo, header and footer), gas assembles it on the server, saves it to the archive and can generate it repeatedly on a schedule and send it to recipients by email.
| Printing a page | Report | |
|---|---|---|
| What it contains | one screen of the application | selected sections from several networks in one document |
| Appearance | the look of the application | cover page, table of contents, logo, header and footer |
| Where it is created | in your browser | on the gas server |
| Retention | not stored | stays in the archive |
| Repetition | manually every time | one-off or automatically on a schedule |
| Distribution | none | by email to selected recipients |
| Annual limit | does not use it up | uses up one item for each generated document |
A simple guideline: use printing when you need to quickly take away one screen. Use a report when a document is to be created that you will hand over to someone, and especially when it is to be created regularly. Printing is described in detail in the article Printing a page and saving to PDF.
Common problems
I cannot see Reports in the left-hand menu
Reports are tied to the customer account subscription and your subscription does not have them switched on. You can check this in Settings → Customer account → Subscription. To request an upgrade, write through the contact form.
A message about the annual report limit being used up appeared
You have used up the number of reports your subscription allows per year, and the button for a new generation is therefore unavailable. The limit is counted over the last 365 days, so space frees up by itself as soon as the oldest generated report drops out of this window. If you need more reports straight away, ask for an upgrade through the contact form.
The report shows the Error label
The last attempt at generation was not completed. The row of the report carries the reason for the failure next to the label and a Try again button with which you repeat the run; the same button sits next to the individual period in the Period history panel. Repeating a run is reserved for the Administrator role. If the error comes back, write to us through the contact form and give the report name and the period where the problem occurred.
A whole section for one network is missing from the report
The profile the section draws on has since been unlinked from the customer account, deleted, or its access to the network has expired. gas leaves such a section out so that at least the rest of the report reaches you, and lists the omitted profiles on a separate page in the PDF. Once you link the profile again, gas generates the report anew and complete, and this follow-up run does not use up the annual limit. This is described in more detail in the article When a report is missing or incomplete.
The report arrived in a different language than I expected
The report is generated in the language of the user account of whoever created it, not in the recipient's language. If the report is to arrive in a different language, switch the application language in Settings → Profile and create the report settings again.
The report did not arrive by email
Only automatic reports are sent by email, and only to the people selected as recipients in the report settings. For a report started as a one-off you only get an in-app notification. So check three things: whether the report really is automatic, whether you are among the recipients, and whether you have the subscription switched off in Settings → Profile → Report subscriptions. The last possibility is that email notifications are switched off for the Reports group in the notification settings.
The edit button is missing for a one-off report
A one-off report is not offered for editing in the list, because it is tied to one specific period. That is why the pencil icon is only on automated reports. If you need a different form, open the Actions menu (the three dots icon) on the report and choose to create a copy: gas opens new settings pre-filled from the original and you change in them whatever you need.
I cannot select the period I am interested in
The report period must end at least three days before generation. Networks recalculate their figures with a delay and the report would otherwise come out with incomplete data. So wait a few days and start the report after that.
I cannot see the button for deleting a report
Deleting reports is reserved for the Administrator role and you find it in the Actions menu under the three dots icon. If you are in the customer account in the User or Viewer role, the item is not shown to you in the menu. Ask the customer account administrator to delete it.
The report is finished, but some figures are missing from it
The network did not provide data for the given period, or provided it incomplete. The most common cause is a profile that was only connected during part of the period, or a metric the platform has discontinued. Check the same period directly in the application in the section for that network: what you cannot see there cannot be in the report either.
Generation is taking a long time
For a large report with post preview images a longer run is normal, because gas has to prepare the images first. You can close the page, the generation carries on and you will get a notification when it is done. If the status does not change even after several hours, write to us through the contact form.
