In gas the word report means two different things, and it pays to tell them apart right at the start, because you work with each one differently.
- The Report page in the Tourism data menu is a screen inside the application. It shows tourism indicators for one region or for one destination management organisation and for one selected year. You view it on your monitor and, if you need to, print it or save it as a PDF through your browser.
- The Tourism section is one of the parts of a generated PDF report, which you assemble in the Reports module. gas creates that report on the server, stores it in the archive and can email it to recipients.
The content partly overlaps: the Overview subsection in the PDF report is built from the same figures as the Report page. The difference is who the output is meant for: the page is for your own work with the data, the PDF report is for handing over to a client, to management or to a council.
Before you start
- The customer account must have the tourism module in its subscription and must have a region or a destination management organisation assigned. We set the assignment up, you can see it in Settings → Customer account → Destination management. We will handle any change or addition through the contact form.
- The Report page appears in the menu only for a customer account with access to a region or to a destination management organisation. An account that has tourism data for a single municipality only does not see this page.
- Any team member may create and edit a PDF report, but only an Administrator can start generating it and delete it.
What you find on the Report page
Open it in the left menu: Tourism data → Report.
The header shows the name of the selected area and the year, and next to them are the selectors:
- area type (Region, Destination management). It appears only when the account has access to both.
- the specific region or destination management organisation. It appears only when more than one is available.
- year. You can choose from 2018 up to the last completed year.
Below the header come these blocks:
- Cards with overall indicators: Total visitors, Tourism revenue, Stay fee, Tourists CAE, Tourists IAE, Day-trippers, Average length of stay, Overnight stays of tourists CAE and Area. Each card shows the value for the selected year and next to it a comparison with the previous year.
- Domestic tourism: six indicators for visitors from Czechia only (Tourists CAE, Tourists IAE, Day-trippers, Average length of stay, Average spend of tourists, Average spend of day-trippers).
- International tourism: the same six indicators for visitors from abroad.
- Parent area: for a destination management organisation the block is named after its region, for a region it is named Entire Czech Republic. It shows Domestic tourists CAE, Foreign tourists CAE and Day-trippers for that larger area, so that you have something to measure your own figures against. A destination management organisation that does not belong to any region is compared directly with the entire Czech Republic.
- Comparison table: for a region it contains all the regions of Czechia and the last row is Entire Czech Republic, for a destination management organisation it contains the destinations in the same region and the last row is Entire region. The columns are Name, Tourists CAE, Tourists IAE, Day-trippers and Stay fee. Your own row is in bold.
- Source markets: a table of the countries the tourists came from, with the number of tourists and with a comparison against the previous year in per cent. It is shown only when you have a region selected.
- Explanatory notes: a card at the end of the page describing what CAE and IAE mean and where the data comes from.
CAE stands for collective accommodation establishments, that is hotels, guest houses or campsites whose statistics are processed by the Czech Statistical Office. IAE stands for individual accommodation establishments, that is staying with friends, with family or through a service such as Airbnb; those figures are estimated from surveys by the CzechTourism agency. A tourist is a visitor who stays at least one night, a day-tripper arrives and leaves on the same day.
How to build the page
- In the left menu open Tourism data and click Report.
- In the header choose the area type, that is Region or Destination management. If you have access to only one of the options, the selector is not shown and the type is set straight away.
- Choose the specific region or destination management organisation. In a longer list you can type and search by name.
- Choose the year.
- Wait until the cards and tables are calculated. Until then grey rectangles stand in their place.
gas remembers your selection, so when you come back to the page you see the same setting. It is remembered separately for each customer account, so after switching accounts in the top bar you will see a different area.
Printing the page and saving it as PDF
- Press Ctrl+P, on Apple computers Cmd+P.
- In the browser dialogue choose the destination: a printer, or the option to save as PDF.
- Confirm printing.
The whole page is printed, cards and tables included. The controls, that is the selectors and the refresh button, are left out of the print, and the page is printed black on white even when you have dark mode switched on. The heading keeps the area name and the year, so even on paper it is clear what the figures refer to.
You can also print just the comparison table on its own. Above the table there is a printer icon; when you click it a window with print options opens, then gas loads the data (you will see the message Preparing data for print) and opens the print dialogue. The All rows option is not available for printing; for large tables use the export to CSV or to Excel that sits next to it.
The Tourism section in a PDF report
Path: Reports → open the report → Report sections. In the selector next to the button choose Tourism and click Add section.
The section appears in the list only for customer accounts that have the tourism module. Unlike the social network sections it does not need a profile; instead you fill in:
- Area: Region, DMO or Municipality, depending on what the customer account has assigned. The abbreviation DMO stands for destination management organisation.
- Selection: the specific region, destination management organisation or municipality.
- Subsections: from the Available subsections column you move to the Selected subsections column whatever the section is to contain. The order in the second column determines the order of the pages in the finished PDF.
A newly added section has Overview, Map, Stay fee and Overnight stays of tourists CAE preselected. You can change the selection. One report can contain several Tourism sections, one for each area, so you can fit several destinations side by side into a single document.
The section requires both the area and the specific entity to be filled in. Without them the report cannot be saved and the message Select entity type or Select entity appears next to the field. If the customer account does not have access to the selected area, or loses it, generating the report ends with an error and no PDF is created.
What each subsection contains
- Overview takes up two pages. The first one has the same cards as the Report page, split into the blocks Total overview, Domestic tourism, International tourism and Comparison. The second one has a table of the destinations in the region with the columns CAE, IAE, number of people and stay fee in Czech korunas, plus explanatory notes. If source markets are available for the selected area, gas adds a Source markets page as well, with countries, the number of tourists and the year-on-year change; source markets are kept for regions.
- Region comparison is a table of all the regions of Czechia. For each region it shows the subject ratings (Total, Accommodation, Gastronomy, Destination) and the indicators Tourists CAE, Tourists IAE, Day-trippers and Stay fee, with the year-on-year change in per cent below each value. The row of your area is highlighted, the last row is the summary for the whole of Czechia. The subsection is offered for the Region and Destination management areas.
- Destination comparison is a table built the same way, only for the destination management organisations in the region. Your destination is highlighted and the summary row belongs to the whole region.
- Map is a map of the region with the tourist areas distinguished by colour and with a legend of their names. The boundary of your area is highlighted and municipalities that do not fall into any area are marked differently.
- Subject ratings is printed as three separate tables: Accommodation, Gastronomy and Destination. The columns match the rating sources: Weighted total, Facebook, TripAdvisor, Google, Firmy.cz and, for accommodation, Booking as well. For accommodation establishments the number of stars follows the name. If you tick the Filter less relevant subjects option, subjects with few ratings are merged into a single Other row.
- Individual indicators are in the same list right below the subsections: Stay fee, Tourists CAE, Overnight stays of tourists CAE, Tourism revenue, Total visitors and more. Each selected indicator gets its own page in the PDF with the value for the year in question, with the year-on-year comparison and with a graph covering the last six years.
The period for tourism data
Tourism data is collected in whole years, so the report period is converted to a year and the comparison is always year on year. If the report period ends on 31 December, that year is used. For any other end of the period the previous year is used, because the last one is not yet complete. Setting a weekly or monthly report therefore changes nothing about the tourism figures, it only affects the other sections.
Subject ratings are an exception: they are updated monthly, so the report takes them for the month before the day of generating and compares them with the month before that. The month the ratings are for is always written below the table.
What happens next
On the Report page the result is calculated within seconds and stays there until you change the area or the year. The refresh button in the page header loads the figures again.
For a PDF report you start generating in its detail, you see the run status in the report list, and the finished document is saved to the archive and sent to the recipients. Common problems
There is no Report item in the Tourism data menu
Only customer accounts with access to a region or to a destination management organisation see the page. An account that has tourism data for a single municipality only does not have it in the menu. Write to us through the contact form and we will check what your account has assigned.
After opening the page gas sent me back to Overview with a message about missing access
The message saying that you have no access defined to any destination management organisation or region means that no area is assigned to the customer account. It will not assign itself, so write to us through the contact form. Also check whether you are switched to the right customer account, the switch is in the top bar.
The cards show a dash instead of a number
A dash means that the value is not in the data for the selected area and year. Try an earlier year. On top of that, the indicators Tourists IAE, Day-trippers, average spend and Tourism revenue are based on surveys by the CzechTourism agency and are calculated from regional data, so they may not be available for every level of detail.
I cannot select this year
The selector offers years from 2018 up to the last completed year, because statistics for the year in progress do not exist yet. Data for the previous year is also written into gas once a year, in April, so in the first months of the year the preselected year is one year older. You can pick the more recent year, but it may not have values filled in yet.
The figures for earlier years differ from a report I made before
The surveys some of the indicators are based on are refined retrospectively, so output from the same source may be slightly different years later. The explanatory notes at the end of the Report page point this out and state the data source too.
The Source markets table is not shown
Source markets are kept for regions. When you have a destination management organisation selected, the table does not appear. Switch the area type to Region if you have access to one.
There is no Tourism item in the report section list
The section is offered only to customer accounts with the tourism module. If you do not see it, either the module is not part of the subscription, or the account has no area assigned. A third possibility is that the report already has a section for every available area, so no more can be added.
The report cannot be saved, the Tourism section shows an error
Check that you have filled in both Area and Selection and that you have moved at least one item into the Selected subsections column. As long as any of that is missing, gas stops the save and shows the error right next to the field concerned.
Generating the report ended with an error
The run detail of the report shows a description of the error. For the tourism section there are usually two causes: the customer account lost access to the area selected in the section, or the report settings use a period for which there is no tourism data. Correct the area selection in the section and run the report again. If you are stuck, send us the report name and the approximate time of the run through the contact form.
The PDF has a sentence about data not being available instead of the cards
When there are no values for the given year in the Overview, gas prints a notice with a list of the blocks that were left without data instead of empty cards. Most often this is a report for a period whose year has not been processed yet. Set a later period, or run the report again once the data for that year arrives.
The section in the PDF is for a different year than I expected
Tourism data is annual, so the report period is converted to the last completed year. A weekly or monthly report therefore shows the whole previous year. If you need a specific year, set the report a period that ends on 31 December of that year.
The Region comparison subsection is not offered
It is offered for the Region and Destination management areas. For the Municipality area you will not find it in the list, because a municipality is not compared with regions.
Destination comparison or the map came out empty
Both rely on the destination management organisation belonging to a region. For a destination that is not assigned to any region gas has nothing to compare and the page stays empty. Write to us through the contact form and we will fix the assignment.
The ratings in the report do not match the report period
Tourism indicators are annual, whereas subject ratings are monthly. The report therefore takes the ratings for the month before the day the report was created and compares them with the month before that. The month the ratings are for is stated below the table.
The printed page looks different from the PDF report
These are two different outputs. Printing the page takes whatever is on screen at that moment and passes it to the browser print dialogue. The PDF report is assembled by gas on the server according to the report settings, so it has a title page, a header and footer, a table of contents and pages in the order you set. When you need a document for a client or for management, use the PDF report.
The whole table cannot be printed
For table printing the All rows option is not available, because a large table would overwhelm the browser. Use the export to CSV or to Excel next to the printer icon, or have the same figures generated into a PDF report.
